Understanding Forms & Inquiries

Forms are a great way to capture information from potential clients. With our latest updates, creating forms and managing inquiries is more powerful and customizable than ever.

Types of Forms

You can now choose between two distinct types of forms depending on your workflow:

  • Standard Form: This form collects responses only. Getting a response will automatically create a contact, but no Project is created.

  • Workflow Form: This form collects responses and automatically creates a new Project when submitted (a Project Date is a required field for this to work).

Note: This guide focuses on building and managing Standard Forms. We have a separate detailed article dedicated entirely to setting up Workflow Forms.


Creating a Standard Form

To get started, click the "+ New Form" button in the top right corner of the Forms page and select Standard Form.

When you create a new Standard Form, you have full control over what information you collect and what the client sees. Here is a breakdown of the fields you can customize:

  • Form Name: The internal title of your form.

  • Branch (if applicable): Assign this form to a specific branch of your business.

  • Logo (Image Upload): Upload your branding to display on the form.

  • Form Description: This text will appear at the very top of your form to welcome or instruct clients.

  • Required Fields Toggle: Quickly toggle baseline requirements, such as requiring a phone number.

  • Confirmation Message: The message your client sees immediately after clicking submit.

  • Send Copy of Form Submissions To: Enter the email address(es) of staff who should be notified when a form is submitted.

  • Automated Email Response: Set up an automatic reply that goes straight to the client upon submission.


Adding Style to Your Form

Want to adjust the background color of your form, or tweak the font size, type, and color? You can do that with the Style feature!

From the Forms page, locate and click the form you wish to edit. On the top right corner, click the Style button. This opens a slide-out menu with the following options:

  • Background Color & Button Color: Use the color picker to select the exact colors that match your branding.

  • Body Font, Form Font & Button Font: For each of these sections, you can adjust the font type, size, and color.

  • Copy Styles From: If you've already perfected the design on another form, select it here to copy its styling over. (Note: This only copies the style, not the questions from the other form).

  • Reset Styles: Click this to revert your form's design back to the default layout.


Adding & Customizing Questions

To add more questions, simply click the "+" sign at the bottom of the form builder. Each question gives you several options to modify:

  • Type (Dropdown): Choose the format of the answer. Options include Long Answer, Short Answer, Number, Date, Time, Address, Multiple Choice, Checkboxes, and Image Upload.

  • Custom Property (Dropdown): Answers to these questions can be tied directly to a Token for use in proposals and emails. (See our article on how to set up Custom Properties and Tokens).

  • "Required?" Toggle: Turn this on to make the question mandatory before the client can submit the form.

  • Question Label: The actual text of the question or prompt the client will read.


Managing Responses & Projects

When a potential client submits a form, the system automatically creates a Contact for them.

Navigating the Responses List

Navigate to the Responses tab to view a list of all submitted inquiries. This list view provides a quick overview with the following columns:

  • Name: The client's name (which also includes the email they provided).

  • Form: Indicates which specific form the client submitted.

  • Received: The date and time the inquiry was submitted.

  • Inquiry Status: The current stage of the inquiry.

  • Assigned: The team member handling the inquiry.

  • Branch: The specific business branch (if applicable).

From this list, you can efficiently manage multiple inquiries at once using bulk actions. Simply click the checkboxes next to the inquiries you want to update, click

button, and choose one of the following:

  • Mark as new

  • Mark as follow up

  • Mark as did not pursue

  • Archive

  • Delete


Converting an Inquiry to a Project

To take action on a specific submission, click onto an individual inquiry from the Responses list.

  1. Edit inquiry details (Optional):

    Click the Pencil Icon to edit key internal details, including the Status, Branch, Assigned to (e.g., assign to an employee), Tags, and Notes.

  2. Convert the inquiry:

    You now have two options for moving the inquiry forward:

    • Merge into existing Project: Attaches the inquiry to a project you've already created.

    • Convert to new Project: create a brand new project using the client's submitted information.

If you ever make a mistake or need to separate the data later, you can easily disconnect an inquiry from a Project directly from the inquiry details page.


Sending Emails from an Inquiry

You can also send out an email to a potential client directly from the inquiry tab without setting up a Project first.

  1. From the Responses tab, click into the specific inquiry.

  2. Once the inquiry page is loaded, click the button in the top right corner.

  3. This will open the standard email box used throughout Curate so you can quickly message the client.
