Building and Managing Workflow Forms

Workflow Forms take your client intake to the next level. While standard forms simply collect responses, Workflow Forms automatically create a brand new Project the moment a potential client hits submit, saving you valuable time on manual data entry.

Creating a Workflow Form

To get started, click the "+ New Form" button in the top right corner of the Forms page and select Workflow Form.

Creating a Workflow Form is very similar to creating a Standard Form, but with two mandatory requirements to ensure the automated Project is created successfully:

  • Date: This field is strictly required on the form so the system knows when the Project takes place.

  • Default Assignee: You must select a default team member who will take ownership of the automatically created Project.

Automating Project Templates

One of the most powerful features of a Workflow Form is the ability to automatically apply your pre-built templates to the new Project upon creation. Alongside the required Default Assignee, you can attach the following optional templates:

  • Payment Template (Optional)

  • Project Details Template (Optional)

  • Order Template (Optional)

  • Contract Template (Optional)

  • Timeline Template (Optional)

What Happens Upon Submission?

Once the client fills out and submits your Workflow Form, the system goes to work. It will automatically create the new Project using the client's provided details, apply all the templates you selected in the form builder, and assign the project to your chosen default assignee. You can immediately find this new project waiting for you in your Projects tab, ready for the next steps!
