Order Breakdown

Review your Project’s pricing, estimated costs, taxes, and profit in one place. Order Breakdown helps you understand overall profitability and see how individual line items and categories contribute to your order.

Written by Enzo Baliwag

Open Order Breakdown

  1. Open your Project.

  2. In the Project’s side navigation, find Quick Access.

  3. Select Order Breakdown.

The breakdown opens in a window for the current Project. Its header shows the Project name, date, and Guest Count when one has been entered.

Order Summary

The Order Summary provides an overview of your order’s financials.

Field

What it shows

Price

The order’s revenue before tax.

Est. Cost

The estimated costs associated with the order’s items.

Tax

The calculated tax, displayed separately from revenue and profit.

Profit

Price minus estimated cost.

Profit %

Profit expressed as a percentage of pre-tax revenue.

These figures depend on the pricing and cost information entered in your order. Review your item costs when evaluating profitability.

How Profit % Is Calculated

Profit % = Profit ÷ pre-tax revenue × 100

For example, an order with $400 in pre-tax revenue and $220 in estimated costs has:

  • Profit: $180

  • Profit %: 45%

The overall percentage uses the order’s combined revenue and costs. It is not an average of its category percentages.

For orders or categories with positive revenue:

  • Revenue equal to cost produces 0% profit.

  • Costs greater than revenue produce a negative profit percentage.

When pre-tax revenue is zero or negative, Profit % displays a dash.

Taxes are excluded from revenue and profit calculations.

Line Items

The Line Items table breaks down the individual items in your order.

Column

What it shows

Name

The line item’s name.

Category

Its assigned Line Item Category.

Qty

The item quantity.

Price/Unit

The selling price per unit.

Taxable

Whether the item is taxable.

Subtotal

Quantity multiplied by the unit price.

Est. Cost

The estimated cost associated with the item’s quantity.

Profit

The item’s subtotal minus its estimated cost.

Estimated costs can come from recipes and assigned costs. Assigned unit costs scale with quantity: an assigned cost of $5 with a quantity of 10 contributes $50 in estimated cost.

Internal line items are included so you can account for internal expenses alongside customer-facing items. Their costs contribute to the breakdown without adding customer revenue.

Line Item Categories

The Line Item Categories table groups your items by category so you can compare revenue, costs, and profitability across different parts of the order.

Column

What it shows

Category

The Line Item Category name.

Qty

The combined item quantities in that category.

Revenue Subtotal

The category’s subtotal revenue.

% of Total Order

The category’s revenue divided by the order’s total pre-tax revenue.

Cost

The category’s estimated cost.

Profit

Category revenue minus category cost.

Profit %

Category profit divided by category revenue.

% of Total Order and Profit % answer different questions:

  • % of Total Order: How much of the order’s revenue comes from this category?

  • Profit %: How much of this category’s revenue remains after estimated costs?

Component and Staffing Breakdowns

Order Breakdown also supports component-category and staffing summaries for reviewing recipe costs and staffing information associated with the Project.

Component-category totals may differ from the overall estimated cost. Assigned costs and costs supplied through Galley are recorded at the line-item level and are not necessarily represented in component-category totals.

Update Your Order

To adjust pricing, quantities, recipes, or assigned costs, return to your Project’s order and edit the relevant items. Open Order Breakdown again to review the updated figures.

For more information about editing items, see Orders.
