Accessing and Enabling Messages
Before you can communicate with a client, you need to locate and enable the feature within their specific project.
To access the panel:
Open a Project.
Navigate to the Project overview.
Locate the Messages Panel on the right side of your screen.
The Messages panel is divided into two tabs: Emails and Settings.
To enable messaging:
Click on the Settings tab inside the Messages panel.
Turn on the toggle labeled: "Messages - This allows you to leave a message for your customer and replies will be captured here."
How Messages Work
Once enabled, all communication history lives under the Emails tab. The Messages feature provides a seamless email experience directly from your CRM workspace:
Chronological Tracking: The Emails tab displays your communication history as a flat, chronological list. Each message clearly displays the Subject, Sender, Timestamp, and the Message Body.
Delivered via Email: Messages are delivered exclusively to your client's email inbox. Clients do not need to log into their portal to view or reply to your messages.
Automatic Ingestion: When a client replies to your message from their standard email client (like Gmail or Outlook), their reply automatically appears back in the Emails tab for your team to review.
New Message Alerts: Whenever a new message or reply comes in, it will appear in your new Notification Button at the top of your screen, ensuring you never miss a client update.
Composing a Message
To send a message, navigate to the Emails tab within the Messages panel and click Send Email.
Here is a breakdown of the fields and tools available to you:
Header: * Sender Avatar: Displays your initials (e.g., "EB") as the sender.
To Field: Displays the locked recipient chip (e.g., "Jorenz Baliwag"). This is auto-filled with your primary Project Customer and cannot be edited.
Close (X): Click the "X" in the top right corner to close the composer.
Subject Line: A required text field for your email's subject line (up to 2,000 characters). You can also click the
{ }icon on the far right to insert data tokens directly into the subject.Formatting Toolbar: A full suite of rich-text editing tools to format your message. Options include:
Headers (H1, H2, H3) and Paragraph (P) styles.
Text formatting (Bold, Italic, Underline, Strikethrough).
Code blocks and Blockquotes.
Lists (Numbered, Bulleted, and Checklists).
Text alignment (Left, Center, Right, Justify).
Insert Links and Images.
Personalize Dropdown: A menu (indicated by a pencil icon) to insert custom client or project tokens into the body of your email.
Message Body: The large, blank workspace where you will type out your email content.
Footer Toolbar (Bottom Left):
Templates: A dropdown menu to select pre-written email templates.
Email myself test: Sends a preview copy of the email to your own inbox so you can review formatting and resolved tokens before sending it to the client.
Portal link: Quickly insert a direct link to the client's live portal.
Action Buttons (Bottom Right): * Cancel: Discards the draft and closes the composer.
Send: Sends the email to the client. (Note: This button remains grayed out until the required fields are filled).
